Instructions to print vehicle cost letters from the Vin Decode programs


You can print vehicle cost letters for vehicles you want more information on at any point after importing the current motor vehicle list into the program. We have designed letters for specific class codes. The letters are available on the ESP website for download. They are also included with the program starting in 2013.  You will need to change the date and your signature at the bottom of the word document. The instructions to do this are at the bottom of the page.

  • Click on "Reports and Exports".
  • Click "Print, Export, Merge Mail selected records". The program will have all the records in your current motor vehicle list selected.
  • If you click the "only needing info" box at the top right of the screen, the program will uncheck all records that already have a value.
  • You can review your list of vehicles and check or uncheck any vehicle by clicking or unclicking on the print box for that vehicle.
  • You can then click the "Only Class" button on the top left of the screen to select a specific class code." This will allow you to print a letter designed for a specific vehicle class code.
  • You can then click on the "Hide unchecked records" box so the program only shows the vehicles you are about to print letters for.
  • Click the "Merge Mail" box at the bottom left of the screen.
  • Click "Yes" to create updated data file.
  • You can name and save your file in a location of your choice." Make sure you retain the proper extension at the end of your export file name (for example - .csv)." Then click save.
  • You can then select the word document you would like to use for your cost letter merge mail and click "select".
  • The paths to the Merge document and Data Source file should now show on the screen." If they are not correct, then click Browse to find and select the correct documents.
  • You can print a sample letter or samples of letters by clicking on the "Print Range of Records" button and changing the From and To numbers.
  • Click "Print Merge File".
  • Click "Yes".
  • If you need to make a change to the Word document (ie. change the date on the letter), then click on the "Edit Merge Document" button.

    Please exit Word after saving your changes!
